GUIDE FOR THE USAGE OF KPTM GRADUATE RFID CARD
FAQ CONVOCATION
The Graduate Tracer Study is an annual study conducted by the Ministry of Higher Education (KPT) to determine the employment status of graduates after completing their studies. FOR MORE INFORMATION
To successfully hold this event, the convocation organizers have set a fee of RM350.00 to be paid before attending the Convocation Ceremony.
Only graduates who have fully paid the fees are allowed to collect their scrolls and transcripts. Graduates with outstanding fees and other payments must settle them before being permitted to collect their scrolls and transcripts.

Every graduate who has received an invitation is MANDATORY to confirm their attendance from October 7, 2024, to November 30, 2024, through the online attendance confirmation system.

Confirmations made after November 30, 2024, WILL NOT BE ACCEPTED.

Graduates are requested to upload their photos to the convocation website, referring to the attached guidelines if they have not done so.

The Graduate RFID cards will be handed over to graduates on the gown collection day and the convocation rehearsal day at the Graduate RFID Card Collection Counter. Graduates will not be allowed to enter the convocation hall without this card.
- The complete convocation robe/gown set includes:

- Black convocation robe/gown
- Cap (mortar board/beefeater)
- Hood (color according to faculty)
- Sash (for Excellent Award recipients only)
2. The absence of any item from the convocation robe/gown set as mentioned in point (1) means the convocation attire is incomplete, and graduates are NOT ALLOWED to enter the hall.
3. Graduates are NOT ALLOWED to modify the rented robe/gown.
4. Graduates are fully responsible for the rented robe/gown. Therefore, graduates are required to bring the robe/gown on the day of the convocation.
Location for Collection and Return of UPTM & KPTM Convocation Robe/Gowns: Graduates must collect and return the gown at Dewan Tun Razak 3, Level 3, World Trade Centre (WTC).
Robe/Gown Collection

Graduates must collect their robe/gowns no later than the day before their respective convocation sessions. Robe/Gown collection on the day of the session is NOT ALLOWED.

Graduates are required to confirm their attendance at the Convocation Ceremony and submit the attendance confirmation slip to the staff for verification.

Graduates are allowed to collect the convocation robe/gown on behalf of other graduates under the following conditions: 3.1 Only represent one graduate at a time. 3.2 Must be from the same session. 3.3 All fees and required documents must be completed by the respective graduate.

Graduates must present the Attendance Confirmation Slip (soft copy/hard copy) to obtain the Gown Collection Checklist form and the RFID Card on the gown collection day.
Entry Passes will be handed over to graduates on the gown collection day. Each graduate will receive one entry pass. With this pass, graduates are allowed to bring two (2) parents/guests only. Lost passes will not be replaced.
The entry pass must be brought along when attending the convocation ceremony and should be kept by the parents/guests for entry into the hall. Children under the age of 12 are not allowed to enter the hall. Graduates and their parents/guests are also prohibited from taking photographs during the ceremony.

All graduates who have confirmed their attendance may follow the Convocation Ceremony rehearsal on KPTM's official Facebook (FB) and YouTube channels to understand the program flow for the official day. Graduates can watch the displayed videos.

Attire during the rehearsal must be neat, modest, and appropriate for the occasion. Male graduates are required to have short hair.

First UPTM Convocation Ceremony
The ceremony will take place at Merdeka Hall, World Trade Centre (WTC), Kuala Lumpur on December 17 & 18, 2024 (Tuesday & Wednesday).
December 17, 2024 (Tuesday)
- Session 1: 8:00 AM – 12:00 PM
- Session 2: 2:00 PM – 5:30 PM
December 18, 2024 (Wednesday)
- Session 3: 8:00 AM – 12:00 PM
The graduands will be guided to their respective seats in the hall during the entrance procession. Therefore, graduands are requested to sit in their designated seats in an orderly manner, and the convocation gown must be worn properly throughout the ceremony. Graduands are also not allowed to leave the hall during the ceremony.
Entry Pass for Parents/Guests to the Convocation Ceremony

Entry passes will be given to the graduands on the day they collect their convocation gowns.
a. Each graduand will receive one entry pass for two (2) individuals, which is limited to parents/guests only.
b. Lost passes will not be replaced.
c. Children below the age of 12 are not allowed to enter the hall.
d. Graduands and their parents/guests are prohibited from taking photographs during the ceremony.
Parking for Graduands, Parents, and Guests

Parking for graduands, parents, and guests at the World Trade Centre (WTC) is LIMITED, and it is recommended to use public transport to reach WTC, Kuala Lumpur.

Parents are encouraged to use public transportation to WTC, such as:
a. LRT (PWTC Station)
b. Keretapi Tanah Melayu (KTM) (Putra Station)
c. E-hailing services (GRAB, inDriver, etc.)
Dress Code for Parents/Guests

Male Guests' Attire
Formal attire/batik/national attire, complete and modest.
OR
Full lounge suit with a tie.
JEANS AND T-SHIRTS ARE NOT ALLOWED.

Female Guests' Attire
Formal attire, office wear, or complete and modest national attire.
GOWNS, SKIRTS, SLEEVELESS BLOUSES, T-SHIRTS, AND JEANS ARE NOT ALLOWED.
IMPORTANT NOTE:
Parents/guests are requested to adhere to the prescribed dress code to facilitate smooth entry into the convocation hall.
Food/Drink for Parents/Guests
The Convocation Ceremony Committee DOES NOT provide food or beverages for graduands or their parents/guests. Food and drinks are NOT ALLOWED to be brought into the convocation hall.
Graduate Attire Guidelines
Male Graduands' Attire
Male graduands are required to adhere to the dress code when attending the Convocation Ceremony.

Baju Melayu in Black, complete with a black woven/songket samping
OR
A Black blazer, with a long-sleeved shirt, black trousers, and a Red tie.

Graduands must wear black leather dress shoes with heels, dark-colored socks, and ensure their hair is neatly groomed and does not extend below ear level.
Female Graduands' Attire

Muslim Graduands: Must wear a Baju Kurung or long Kebaya with a skirt without a slit. A plain headscarf (without patterns or floral designs) is mandatory.

Non-Muslim Graduands: Must wear a long-sleeved blouse and black trousers, or a long dress or skirt that extends below the knee without a slit.

Footwear: Black closed-toe pump shoes with a heel not exceeding one and a half inches. Slippers, sandals, or any footwear that exposes the toes are not allowed.

Graduands must wear the headscarf color as specified in Schedule 1 (UPTM Graduands) and Schedule 2 (KPTM Graduands).
IMPORTANT
THE DRESS CODE MUST BE STRICTLY FOLLOWED AS PRESCRIBED. GRADUANDS WHO DO NOT COMPLY WITH THIS DRESS CODE WILL NOT BE ALLOWED TO PARTICIPATE IN THE CEREMONY.

Tips for Wearing the Convocation Robe/Gown
The convocation robe/gown must be worn neatly and properly as follows:
● The hood should rest evenly on both shoulders.
● The cap (mortar board/beefeater) should be worn with the tassel hanging in front on the left side.

IMPORTANT ANNOUNCEMENT FOR GRADUATES
All graduates must collect their scrolls and transcripts AFTER the convocation session ends on the same day at the Tun Razak 3 Hall, WTC KL. The scroll and transcript collection counter will be open until 6:00 PM.
REMINDER: Scrolls and transcripts will only be issued to graduates who DO NOT HAVE any debts with the university (debt data is based on the latest review prior to the ceremony) and who have completed the Graduate Tracer Study (SKPG) survey conducted by the Ministry of Higher Education Malaysia (KPT).
- The robe/gown must be returned at the Robe/Gown Counter in the Kelantan Hall, WTC KL, immediately after the graduates finish the convocation ceremony.
- This counter will be open from 8:30 AM to 4:00 PM.
- When returning the robe/gown, graduates are required to bring and submit a copy of the robe/gown rental form/receipt to the staff at the counter
Graduates are not allowed to take photographs during the convocation ceremony inside the hall. All photography during the convocation ceremony will be managed by the official photographers appointed by UPTM.
The Convocation Gown Committee will provide professional photographers on stage to capture images of the graduates throughout the ceremony. Personal photographers are strictly prohibited.
All convocation photos will be mailed to each graduate's home address.
